Once your licences are confirmed, getting your apprentices set up on Beyond the Job is quick. The platform is designed so that apprentices can move from invite to their first coaching session in a single session, with no lengthy setup or technical barriers. Your role as the training provider is to share the invites and nudge apprentices through the first few steps.

Receive Licence Codes

After your purchase is confirmed, your account lead sends you a set of licence codes matched to the number of apprentices in your cohort. Each code is single-use and tied to your provider account.

Share Invites with Apprentices

Distribute the licence codes to your apprentices. You can do this via email, your learning management system, or in person during an induction session. Many providers include the code in a welcome email alongside programme handbooks and timetables.

Apprentices Create Accounts

Each apprentice visits the Beyond the Job sign-up page, enters their licence code, and creates their account. The process takes under two minutes and works on mobile, tablet, or desktop.

First Coach Match

After signing up, apprentices complete a short questionnaire about their goals, sector, and preferred coaching style. The platform matches them with a career coach, usually within one working day.

Platform Orientation

New users are guided through a brief orientation that shows them where to find coaching sessions, CV tools, job search features, and employability resources. They can book their first coaching call immediately.
Send invites in your welcome email. Apprentices are most likely to activate their account when the invite arrives alongside other programme materials they are already expecting. Include a short sentence explaining that Beyond the Job is part of their employability support and that their coach is ready to help.
What if an apprentice does not redeem their invite? Licence codes can be reassigned if they are not used. If an apprentice drops out, defers, or simply has not signed up, contact your account lead and we will reallocate the code to another learner in your cohort.

Keeping track of activation
